Vantaris Security LLC Privacy Policy

Vantaris Security LLC is a licensed, insured, and bonded private security company serving the Saint Paul and Minneapolis metro area in Minnesota. We hold Minnesota Private Protective Agent license PAC 2500, issued by the Minnesota Board of Private Detective and Protective Agent Services.

This policy covers our website, our client portal, and the portal our officers use.

We do not sell or share personal information.

We use this information to respond to you and to follow up.

Our website has no analytics, no advertising pixels, no tracking technologies, and sets no cookies. There is no login, no account, and no payment processing on our website.

2. Client Portal

Our client portal, branded Sightline, is accessed through a secure login. Access is granted under a signed service agreement. There is no public signup.

For their own properties only, client users can see officer position captured at clock-in and at each checkpoint scan, checkpoint scan records, shift records, incident reports including photographs, and monthly reporting. A client cannot see records for any other property.

We collect the client user's name, work email, phone number, company, and their activity in the portal, and use it to deliver the reporting set out in their service agreement.

3. Officer Portal

Vantaris officers use the portal on mobile devices, including personal devices. It collects device location at clock-in and clock-out, device location at each checkpoint scan during an active shift, shift and attendance records, incident reports including photographs and video the officer submits, and acknowledgement of post orders.

Location is captured only at clock-in, at clock-out, and at each checkpoint scan during an active shift. There is no continuous tracking. No location is collected when an officer is off shift. The portal does not monitor an officer's device, calls, messages, or other applications at any time.

We use this information to verify attendance, document patrols, pay officers correctly, and report to the client whose property the officer is assigned to. What we collect is the same whether the portal runs on a company device or a personal one.

Every officer signs a separate written acknowledgement covering location capture before their first shift. That document, not this policy, is where an officer gives consent. If an officer believes location is being collected outside an active shift, they should contact us immediately so it can be investigated.

4. How We Share Information

We do not sell personal information. We share it only with companies that help us operate our website, portal, and payroll, and which are bound by confidentiality obligations; with a client, limited to officers assigned to that client's own property; where required by law, subpoena, court order, or a regulator including the Minnesota Board of Private Detective and Protective Agent Services; and as part of a merger, acquisition, or sale of the company.

5. How We Protect and Keep Information

We maintain administrative, technical, and physical safeguards designed to protect personal information against unauthorised access, loss, or alteration. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

We keep information for as long as we need it for the purposes described above, and longer where insurance, legal, or regulatory requirements apply. Incident reports and their photographs are kept longer for that reason.

6. Changes

We may update this policy. When we do, we will post the updated version here and change the effective date above.
